Write a customer case study from an interview recording
The raw material for a great case study is usually sitting in one 30-minute call. The hard part is turning a rambling transcript into a clean story without putting words in the customer's mouth.
Steps
- Get the customer's permission to publish before you start writing.
- Get a transcript of the interview. Most video call tools and note-takers can produce one.
- Paste the prompt with the transcript.
- Check every quote against the transcript word for word. This matters more than anything else in the playbook.
- Send the draft to the customer for approval before it goes anywhere public.
The prompt
Copy it, then replace the [highlighted parts] with your own details.
Here is a transcript of an interview with a customer about how they use our product: [PASTE THE TRANSCRIPT] Write a case study draft with these sections: 1. The situation before, in the customer's terms 2. What they tried and why it did not work 3. What changed after they started using us 4. The result, using only numbers the customer actually said 5. Three short direct quotes, copied exactly from the transcript Strict rules: never invent a number or a quote. If a section has no support in the transcript, write "Not covered in interview" so I know to ask a follow-up question.

Make it better
- Ask it which follow-up questions would give you a stronger result section, then send them to the customer.
- Ask for a 50-word version as well. That is the one that gets used on the website and in sales decks.
- Put the best quote at the top. People read the quote before they read the story.
Before you paste anything, remove details you would not share outside your company, such as customer names, contract terms or personal information. How to use AI at work safely
