Write a cold email that sounds like you, not a robot

When I recruit people for community sessions, I write a lot of first emails to strangers. The ones that get replies are short, specific and sound like a person. The fix is to teach the assistant how you write first, then give it one real reason you are writing.

Steps

  1. Find two or three emails you wrote that got good replies. Copy them into one document.
  2. Paste the first prompt so the assistant learns your style.
  3. Paste the second prompt with the one specific reason you are reaching out.
  4. Cut anything that would not survive being read aloud to the recipient.

Learn your style
Here are three emails I have written that got good replies:

Describe my writing style in five short bullet points: sentence length, tone, how I open, how I ask for things, and phrases I use.
Do not write anything else yet.
Write the email
Using my writing style, write a first email to [THEIR ROLE] at [COMPANY].
The specific reason I am writing: [ONE CONCRETE REASON, e.g. they just opened a second office, or they posted about a problem I solve]
What I can help with: [ONE LINE]

Rules:
- Under 90 words
- Open with the specific reason, not with who I am
- One question at the end that is easy to answer
- No phrases like "I hope this finds you well" or "I wanted to reach out"

Then write one follow-up for five days later, under 50 words, that adds something new rather than "just checking in".

What a good result looks like

An illustrative example. The company and figures are made up.

Subject: Your second office Hi [Name], Saw you opened the Manchester office last month, congratulations. Setting up a second site usually means the booking process gets rebuilt from scratch. We help clinic teams run one booking setup across every location, so the new site works like the first one from day one. Is that something you are working through now, or already sorted? [Your name]

Make it better

  • Make the reason genuinely specific. "I saw your post about hiring three new people" beats any amount of clever writing.
  • Ask it to cut the email by a third. The shorter version almost always gets more replies.
  • Never send in bulk what you wrote for one person. The specific reason is the whole point.
